FINANCE - Finance and Accounting P2P System & Service

Provision of managed finance and accounting services, including procure-to-pay, order-to-cash, general ledger maintenance, financial reporting, and system administration support.

• Fully managed Purchase to Pay service, including purchase order generation and dispatch, invoice processing, payment administration, supplier account management, electronic receipting of goods and services, invoice scanning, digital storage and archiving, workflow-based invoice authorisation, and a central helpdesk for Accounts Payable queries
• Order to Cash services, including creation of sales orders, issuance of invoices and credit notes, receipt and allocation of customer payments, and debt management in accordance with the contractor’s established policy
• Maintenance of accounting records up to trial balance, including month-end close in accordance with an agreed accounting timetable and delegated balance sheet reconciliations documented and agreed within 30 days of contract commencement
• Provision of a standard interface gateway into the contractor’s general ledger system
• Provision of financial reporting tools enabling the Customer to produce management reports from underlying accounting data, with an agreed monthly and annual timetable, standard reporting library, budget comparison functionality and transaction monitoring reports
• Management of VAT processes, including review of VAT treatment on transactions, including charitable purchases where applicable, and preparation of VAT returns
• Provision of a central IT helpdesk for system users from 08:00 to 18:00 Monday to Friday, excluding public holidays
